To support the Client Relationship Management Team, based in Luxembourg in the daily management and provision of a first- class service to clients to meet the needs of the business, with a particular focus on corporate records and paralegal services.

Main responsibilities and duties:

  • This list of duties is not exhaustive and may change from time to time according to business needs.
  • Supporting the management of a portfolio of clients with all aspects of corporate legislation, collecting information and documents required to set-up entities and opening of bank accounts.
  • Drafting, reviewing and finalising power of attorneys, board minutes and shareholders’ resolutions, UBO declarations, change of company’s name, change of company’s registered office, change of directors, amendment of articles of association, amendment of share capital, transfer of shares, updating shareholder register etc.
  • Managing all legal/statutory requirements and formalities at incorporation, during the life cycle and liquidation of the client companies, as well for Hawksford's in-house companies, and ensure compliance with all statutory filing requirements with the Luxembourg Business Registers (RCS, RBE, RESA) and ensure corporate files and database (Trax Diary) are all times up to date in that regard.
  • Liaising with notary and Ministry of Foreign Affairs for legalisation and apostille.
  • Operate as alternate for some administrative/office management tasks, such as:
  • Receive, scan and dispatch incoming mail to the team, and manage outgoing mail.
  • Photocopying, binding of board pack/client presentation, scanning.
  • Preparing client files for transfer in/out; and
  • Any other duties that may be required from time to time.

Experience and / or qualifications:

Essential: 

  • Fluent in English and French
  • 3-5 years’ experience in a similar role within the corporate services business, law firm and/or financial services.
  • Excellent knowledge of Luxembourg Company Law, especially the legal/statutory requirements as regard to incorporation, life cycle and liquidation of companies, holding of shareholding/board meetings and generally all “Luxembourg Business Register” filing requirements (RCS, RBE, RESA)
  • Proficient in Microsoft Office

Desirable: 

  • Additional Languages is a plus
  • Bachelor’s degree in law
