We are seeking a highly organized, proactive, skilled individual as Paralegal – Legal Assistant for our Group’s Legal & Compliance Department. In this role, you will be responsible for providing valuable and comprehensive administrative support to ensure the smooth functioning of the Legal & Compliance Department and optimize their productivity.

What are your responsibilities

  • Assistance in the drafting and maintenance of corporate documents (notice and minutes of shareholder meetings etc.)
  • Knowledge Management: research on legal matters, screening of applicable legislation and regulations in key markets and new developments in the relevant industry, compile data and prepare reports and presentations as needed, ensuring accuracy and confidentiality of sensitive information.
  • Provide assistance to the members of the Legal & Compliance Department.
  • Supporting with standard or legal translations.
  • Managing the corporate policies and guidelines of the Group (assist in drafting corporate policies, communication to the different stakeholders, updates…).
  • Updating and adapting Corporate Guidelines in close cooperation with Senior management.
  • Drafting communications & documents, including legal letters (internal and external).
  • Assisting in the implementation and upkeeping of a contract management software.
  • Calendar Management: Efficiently manage the Director Legal’s schedule, including scheduling meetings, appointments, and coordinating with internal and external stakeholders.
  • Communication Coordination: Serve as a primary point of contact for the Director Legal, screening and prioritizing communications, responding on their behalf when appropriate, and ensuring timely follow-up.
  • Task Prioritization: Proactively identify priorities and deadlines, manage competing demands, and effectively delegate tasks to optimize the Director Legal’s time and focus.
  • Office Operations: Oversee day-to-day administrative tasks such as managing correspondence, filing documents, and maintaining office supplies, ensuring a well-organized and efficient work environment.
  • Travel Arrangements: Coordinate all aspects of the Legal & Compliance Department’s travel, including booking flights, accommodations, and transportation, and preparing detailed itineraries.

What are the requirements

  • Holder of a Bachelor’s degree in law.
  • Excellent written and verbal communication skills in English (any other language being an advantage).
  • Between 1 and 3 years of experience as a Paralegal or Legal Assistant, ideally in a commercial environment.
  • Intellectually curious and eager to learn.
  • Strong analytical capacity.
  • Good interpersonal skills, curious, proactive, positive, and open.
  • Detail-oriented, result-oriented, and entrepreneurial.
  • Hands-on mentality, versatile, teamwork oriented.
  • Self-starter, able to work without constant supervision.
  • Strong knowledge of the Office suite and all digital tools.
