As a future Paralegal, you will report to the Head of Company Secretarial Service, and you will be part of AXA IM Real Assets.

Administrative and legal support to AXA REIM Luxembourg SA teams allowing further involvement of managers in global and group related matters as well as dedicated support to internal directorship mandates.

Your role and responsibilities will include:

Support to internal managers / directors

  • Gathering and collection of original signatures, 
  • Follow up and organization of files, 
  • Maintenance and follow up of operational schedules (check lists, taxes, approval accounts, etc.), 
  • Coordination / centralization of documents. 

Support to the legal and corporate team / Legal corporate administration

  • Communication with the Trade Register, 
  • Maintenance of the stakeholders’ registers, 
  • Maintenance of investors contact list, 
  • Preparation and storage of written communication (convening notices, capital calls, investment statements….), 
  • Organization of meetings (Board of Directors, Shareholders, Investment Committee, etc.), 
  • Organization of document signature and storage, 
  • Management of correspondence (regular mail, DHL, registered mail). 

Office management: 

  • supervising office supply,  
  • travel organization.

Your qualifications and experience 

Education/Qualifications 

  • A degree in legal secretary and/or general administration 


Experience 

  • Minimum 2 years' experience in an international environment 


Proven ability to work independently as well as part of a close-knit team, in an international environment.

Dynamic and willing to cover a wide range of operational and administrative tasks ranging from routine to more complex matters.

Maintains and adheres to a high degree of confidentiality.

Your knowledges and skills 

  • A strong organiser, co-ordinator and communicator 
  • Detail oriented with strong organizational and analytical skills with “hands on” attitude. 
  • Computer skilled (word, Excel) 
  • A team player 
  • fluent English is mandatory (an extra European language being a plus for instance Dutch) 
  • Excellent written and verbal communication skills
