This is a Temporary Contract (12 Months Contract)

The overall purpose and objective of this position is to contribute to the work of the company’s legal department in a broad range of day-to-day legal day work. It includes the assistance to the legal department in secretarial and administrative work, INA and Company Secretarial related support.

This role requires a high level of organizational skill, attention to detail, and the ability to handle multiple tasks and coordinate with various departments and external entities under the supervision of the General Counsel or the Manager of the Legal Department.

Legal department support

  • Perform administrative tasks including correspondence, filing, and meeting arrangements.
  • Prepare and document various executive and board meetings.
  • Maintain records of contracts and legal documents, manage the digital contract database.
  • Oversee document legalization processes and the Legal Department Library.

Executive committee

  • Preparing, attending Executive Committee, Board of Directors and taking minutes of the meeting.

International network administration

  • Assist in documentation for opening or closing international entities.
  • Coordinate with internal departments and external legal firms for branch-related activities.
  • Manage powers of attorney and legal registration processes for branches/subsidiaries.

Legal reporting

  • Prepare and publish documents for the Luxembourg Registry of Commerce.

Intellectual property management

  • Coordinate IP registrations and prepare related documents.

ESSENTIAL REQUIREMENTS FOR THE POSITION:

  • Previous experience either in a law firm or the legal department of a company of at least 5 years
  • Proven experience as an administrative assistant;
  • Ability to work with a high degree of autonomy;
  • Excellent attention to detail, time management skills, and ability to prioritize work;
  • Ability to successfully communicate with all levels of management, stakeholders, vendors and customers
  • Ability to prioritize multiple tasks with competing deadlines
  • Highly developed written and oral communication skills, with emphasis on negotiating and drafting commercial agreements and attention to detail
  • Fluency in written and spoken English, other languages are considered a plus
  • Advanced knowledge of MS Office (Word, Excel, PowerPoint and Outlook) 

WORKING CONDITIONS:

  • A Certificate of good conduct (Casier judiciaire, Polizeiliches Führungszeugnis) will be required in case of positive selection
  • Position based in Luxembourg

  • Occasional Travel required
