In this role, you will be responsible for the day‑to‑day corporate administration of regulated investment funds and related vehicles, with a strong focus on governance, quality, and client service.

Key responsibilities include:

  • Managing the ongoing administration of funds and structures, including incorporations, liquidations, board and shareholders’ meetings, and investment-related transactions.
  • Acting as a key point of contact for external parties such as AIFMs, regulators, depositaries, notaries, auditors, and other service providers.
  • Preparing, attending, and chairing board and shareholders’ meetings, ensuring proper documentation and follow-up.
  • Coordinating the approval and filing of annual accounts, including liaison with external auditors and organization of governance meetings.
  • Ensuring robust corporate governance and full compliance with Luxembourg regulatory and legal requirements.
  • Reviewing deliverables and maintaining oversight of operational processes to ensure accuracy, timeliness, and consistency.
  • Supervising onshore and offshore teams, monitoring KPIs, supporting team leaders, and contributing to team development.
  • Building and maintaining strong working relationships with clients, internal departments, intermediaries, and local authorities.
  • Contributing to process improvements and operational efficiencies where appropriate.

Skills, Experience & Qualifications

  • Minimum 5 years of relevant experience in traditional and alternative investment fund administration and corporate secretarial services, ideally within Real Estate structures in Luxembourg.
  • Experience gained within fund administration, domiciliation, or professional services firms is strongly preferred.
  • Bachelor’s or Master’s degree in Corporate Law, Economics, Business Administration, or a related field.
  • At least 1 year of team supervision or people management experience.
  • Strong knowledge of the Luxembourg fund industry and Luxembourg corporate law.
  • Ability to manage multiple priorities, remain well organized, and meet deadlines in a fast‑paced environment.
  • High level of attention to detail and accuracy.
  • Comfortable working independently while contributing effectively within a team environment.
  • Strong interpersonal and communication skills, with a professional and client‑focused approach.
  • Very good organizational and administrative skills, with the ability to identify and suggest procedural enhancements.
  • Fluent English is mandatory; German, French, or additional languages are considered an asset.
  • Very good working knowledge of MS Office tools (Word, Excel, PowerPoint) and the ability to learn additional systems.
